One team. One behavior. Seven working days.

Choose one call type your team handles regularly: a service request, a price inquiry, or an estimate follow-up. Keep emergency and safety procedures unchanged. Distinguish repair and maintenance calls from replacement or installation estimates, and follow your existing emergency and safety procedures.

Appoint one manager to run the practice. Use fictional role-play examples, or recordings your business is authorized to review. Keep customer identities and recordings inside your approved systems. You do not need to upload calls or customer information here.

Your seven-day practice plan

Day 1 — Establish a fair starting point

Review the previous seven comparable working days. Count eligible booking opportunities and how many became confirmed appointments. Exclude wrong numbers, spam, job applicants, and calls you cannot serve. Separately record missed calls so an unanswered opportunity does not disappear from your operating picture.

Write down the call type, hours, service area, exclusions, available capacity, and count. Use the same definitions throughout the sprint. If you cannot reconstruct a reliable baseline, spend this week collecting one.

Day 2 — Find the moment that stalls

Review three conversations together. Ask the teammate what the customer needed and where the next step became unclear. Choose one observable behavior, such as confirming the need before explaining the appointment. Use our five questions for a better call review to keep the discussion constructive.

Day 3 — Practice a clearer response

Use this fictional example: a customer asks, “How much will it cost?” Practice acknowledging the question, asking a relevant discovery question, and explaining what your company can accurately confirm before arrival. Do not invent a price, promise availability you cannot honor, or pressure the customer.

Practice prompt: “I can help you understand the next step. What is happening with the system right now?” Follow your actual pricing policy and explain any approved diagnostic fee clearly. Have the teammate repeat the conversation in their own words.

Day 4 — Make the appointment clear

Practice confirming the service needed, the location within your coverage area, the approved arrival window, any applicable fee, and what happens next. Ask the customer to confirm the agreed next step. Measure whether this behavior occurs, not whether the teammate recites a script word for word.

Day 5 — Close the handoff

Inspect three booked jobs. Check whether dispatch or the field team received the information needed to deliver what was promised. For an unbooked but eligible inquiry, assign a next action and owner under your existing contact permissions and follow-up policy.

Day 6 — Coach one improvement

Repeat the same type of call review. Ask: What changed? What still feels difficult? Practice one replacement response. Record how many reviewed conversations included the selected behavior. Keep the session short enough that the manager can repeat it next week.

Day 7 — Review the evidence and choose the next move

Compare booking rates using the scorecard below, then inspect appointment completion, cancellations, customer feedback, and staffing capacity. A better booking rate is useful only when appointments are appropriate and your team can fulfill them. Keep the behavior, adjust it, or gather a larger sample before drawing a conclusion.

Call booking sprint scorecard

Enter aggregate counts only. This calculator runs in your browser. It does not submit or save these four numbers. Record the result in your own worksheet before leaving the page.

Formula: confirmed bookings ÷ eligible opportunities × 100. The change is expressed in percentage points. Example: 20 bookings from 40 opportunities is 50%; 24 from 40 is 60%; the change is +10 percentage points.

This is a comparison, not proof that training caused a change. Small samples, seasonality, call mix, staffing, prices, and appointment availability can change the result. Extend the measurement window when volumes are low. Booked appointments are not collected revenue.

Common questions

Is the sprint free?

Yes. The plan and calculator are available on this page without signup or payment. The linked audit and coaching services have separate scope and terms.

Do we need new software?

No. Use your existing call records, calendar, and team worksheet. A fictional practice conversation is enough to start if you do not have approved recordings.

What if our booking rate does not improve?

Check the definitions and call mix first. Then inspect whether the behavior changed, whether appointments were available, and whether the customer need matched your service. Keep measuring; a single week may not provide enough evidence.

Can a manager use AI for practice?

Use a fictional scenario and ask for a customer role-play. Have a manager review the responses against your actual service, pricing, and safety policies. Keep customer details and recordings out of unapproved AI tools.
